Your first AI employeeThe Weekly Numbers AI Employee

At your daughter's Saturday soccer game, another parent who also runs a business leans over between plays and asks how last month went, and you say "Good, busy," which is true and also isn't an answer. The real answer is spread across your payment processor, your scheduling software, a spreadsheet you started in March, and an envelope of receipts riding around in the console of your car, which has been to the grocery store, two practices, and the bank with you and still hasn't made it into the books. On Thursday night you finally sit down with four browser tabs open to piece it together, and an hour later you have most of a picture and a strong feeling you missed something.

You're not bad with numbers, and you probably have more data than you need. The trouble is that nobody pulls it into one place, so you can't see how the business is doing without spending an evening you don't have.

1What it's going to do

Job description

The Weekly Numbers AI Employee

An AI employee is an AI that has been trained to do one specific job in your business the way you would do it. Your first one is the Weekly Numbers AI Employee, and its job is to turn the numbers you already have into one plain-English snapshot every Monday.

It takes the reports you export from the tools you already use and pulls them into a short Monday snapshot with five numbers that matter to you, what changed since last week, and two things worth a closer look. Think of it as a weekly business report you never have to build yourself, with five numbers instead of fifty. It also helps you clear the receipt pile by turning photos of receipts into a simple list your bookkeeper can work from, so the envelope in the car stops being a monthly project.

Your hours back

3 hr/wk

13hours a month back if the Weekly Numbers AI Employee takes this job off your plate

Your number times 52 weeks, divided by 12 months. You still review and decide, so count some of that time back toward the work you love.

2This is what its first job is

Why this job first
AI is an accelerant, not a diagnostician, so it can't tell you what's going on in your business if nobody has put the numbers in front of it. You told us you can't see the week at a glance, and every other decision you make gets easier once you can.
Your week when it's working
Imagine opening one short summary at seven on Monday that says bookings are up from last week, two invoices are past thirty days, and new inquiries dipped after the holiday, with a note that one report was missing so you know what it couldn't see. You read it in five minutes, ask your office manager to follow up on the two invoices, and get on with your week. At the next Saturday game, when somebody asks how the month went, you have a real answer in one sentence, and then you get to go back to watching the game.
What you still decide
Which five numbers matter, what counts as a good week, and what you do about anything the snapshot flags. The AI employee shows you the picture, and the decisions about money stay yours.
What it isn't
This AI employee summarizes numbers you already have, and it isn't bookkeeping, accounting, or tax advice. Your bookkeeper or accountant still keeps the books and makes those calls, and the AI employee just makes sure you can see what's going on between their reports.

3Free, do it today

Your free quick win: your first Monday snapshot in about 15 minutes

This works in whichever AI chat tool you already use. Most AI chat tools can read a CSV or spreadsheet you upload, and copying the numbers in as text works too.

  1. 1.Export or copy the last four weeks of numbers from two or three places you already use, such as payments or sales, bookings or appointments, and new inquiries. Rough is fine.
  2. 2.Remove anything you wouldn't want to share, like client names or account numbers.
  3. 3.Open a new chat, upload or paste the numbers, then paste the prompt below and fill in the brackets.
  4. 4.Check two or three of the totals against your source the first time, because AI can make math mistakes, and tell it about anything it got wrong.
  5. 5.Save the prompt, and run it again next Monday with fresh numbers.

You are my Weekly Numbers AI Employee. Your job is to turn the numbers I already have into a short, plain-English Monday snapshot. You summarize what I give you, and you never give bookkeeping, accounting, or tax advice.

About my business: [one sentence on what you do and who you serve]
The numbers I care about most: [for example, revenue collected, new inquiries, appointments booked, jobs completed, invoices past due]

Here are the last four weeks of numbers:
[upload a file or paste your numbers]

Please do four things:
1. Pick up to five numbers that matter most for a business like mine, using my list above first.
2. For each one, show this week, last week, and the four-week average, and say in one plain sentence what changed.
3. Give me two things worth a closer look this week, and explain why in one sentence each.
4. List any number that's missing, looks odd, or doesn't add up, instead of guessing.

Show your math for every total. Don't estimate missing numbers, and don't make recommendations about taxes or how to categorize anything.

4Before you build, have it interview you

An AI employee can only work from what you've given it, and you told us that most of how your business runs lives in your head right now. That's normal for an owner who built the place by doing every job at least once, and it's also why we'd ask you to spend twenty minutes getting it out before you build anything. Strategy First. AI Second.

The easiest way is to let the AI interview you while you talk instead of type. Open a new chat, turn on voice dictation, paste the prompt below, and answer each question the way you'd explain it to a new hire on their first morning.

Copy this prompt
Interview me about how I handle tracking the numbers in my business each week. Ask one question at a time and wait for my answer before you ask the next one. Ask about the steps I follow, the decisions I make along the way, what good looks like when it's done right, the mistakes I see most often, and what I'd never want anyone to do without checking with me first. After about ten questions, write what I said into a one-page "how we do this" document with plain headings, and list any gaps where you'd need more from me.

Save that page in the shared folder your team already uses, because it becomes the first thing your AI employee reads, and your Starter Kit's first-week checklist starts right here when you've answered the quiz this way.

Questions you might have

Is this bookkeeping or tax advice?

No. The AI employee summarizes numbers you already have so you can see them in one place. Your bookkeeper or accountant still keeps your books and handles anything to do with taxes or categories.

Does it connect to my accounting software?

The quick win and the kit start with reports you export or copy, which works with almost any software. Connecting tools directly is optional and depends on what your AI tool supports.

Can I trust the math?

Check the totals against your source for the first few weeks, because AI can make math mistakes. The prompt asks it to show its math and flag anything missing, which makes checking quick.

What if someone on my team is going to set it up?

The kit includes a one-page hand-off note written for them. You still decide which numbers matter and what a good week looks like.

Do I need a particular AI tool?

No. The quick win and the kit are written to work in any of the major AI chat tools, so use the one you already pay for or already like.

Why isn't content creation one of the five jobs the quiz can point you to?

Because content is rarely what's holding a service business back, even though it's often the first job owners want to hand to AI. When AI agents first showed up, the first AI employee Brooke built wrote blog posts, and it worked and changed nothing for the business, because the blog was never the bottleneck. If rebuilding next week's social posts is eating your evenings, that's real, and it usually gets lighter once the job in your result is off your plate first.

What if this result doesn't sound like me?

Read the job list on the landing page and see whether a different one describes your week better, because sometimes a close second fits. You know your week better than any quiz does, and you're welcome to take it again.

What if the kit doesn't help?

Try it for 30 days. If the kit doesn't help you hand off that job, email us and we'll refund you in full.

If you know another owner with an envelope of receipts riding around in her car, send her the quiz, because it takes about 2 minutes and she'll get her own result.
