Good leads are waiting on you

Your first AI employeeThe Follow-Up AI Employee

It's Thursday afternoon when the email comes in from the woman who asked about working with you two weeks ago, and it's very polite: "Just wanted to let you know we went with someone else." You meant to call her back, and you even wrote it down, somewhere on the list between "renew the business license" and "find out who keeps taking the good stapler," and meanwhile the proposal for a different client has been sitting in your drafts since last Tuesday with the cursor blinking at the bottom of page two.

You're not careless and you're not short on leads. The trouble is that every reply, follow-up, and proposal waits for a free minute from you, and a business owner's free minute is the rarest thing in the building.

1What it's going to do

Job description

The Follow-Up AI Employee

An AI employee is an AI that has been trained to do one specific job in your business the way you would do it. Your first one is the Follow-Up AI Employee, and its job is making sure nobody who raised their hand is left waiting.

When a new inquiry comes in, it drafts a same-day reply in your voice with one clear next step. It writes the second and third follow-ups you meant to send, keeps a running list of who's waiting on you and for how long, and nudges you when a proposal has sat in drafts longer than you'd want a client to wait. Most of what you'll find under lead follow-up automation is built to send messages for you, while this AI employee drafts them and leaves the send button with you, because pricing and promises stay yours.

Your hours back

3 hr/wk

13hours a month back if the Follow-Up AI Employee takes this job off your plate

Your number times 52 weeks, divided by 12 months. You still review and decide, so count some of that time back toward the work you love.

2This is what its first job is

Why this job first
AI is an accelerant, not a diagnostician, and plenty of owners point it at content first because content feels productive. You told us the bottleneck is the follow-up, which means the people who already want to work with you are the fastest place for an AI employee to make a difference.
Your week when it's working
Imagine a new inquiry landing at 9:40 at night, while you're on the couch with your family pretending not to look at your phone. You don't look, and you don't need to, because by seven the next morning there's a warm, specific reply waiting for your approval, along with a note that two people from last week haven't heard back yet. You change one word, send all three before school drop-off, and the next email from that new lead says "This Thursday works great" instead of "we went with someone else."
What you still decide
Who's a good fit, what you'll offer, what it costs, and every message before it goes out. The AI employee makes sure the follow-up is ready the moment you are, and the conversation stays yours.

3Free, do it today

Your free quick win: a "who's waiting on us" list in about 15 minutes

This works in whichever AI chat tool you already use, and you don't need to connect your email or CRM to try it.

  1. 1.Make a quick list of everyone who reached out about working with you in the last 30 days and hasn't booked or said no. For each person, jot their first name, what they asked about, where they came from, and the date you last talked. A rough list is fine.
  2. 2.Copy two or three follow-up emails you've sent before that sound like you.
  3. 3.Open a new chat, paste the prompt below, and fill in the brackets.
  4. 4.Read the drafts, change anything that doesn't sound like you, and send the ones you're happy with yourself.
  5. 5.Save the prompt and your list, so next week's follow-up starts from where you left off.

You are my Follow-Up AI Employee. Your job is to make sure nobody who reached out to my business is left waiting. You draft messages for me to approve, and you never send anything.

About my business: [one sentence on what you do and who you serve]
The usual next step I want a lead to take: [for example, book a consult, reply with a time, come in for an estimate]

Here are follow-ups I've written before, so you can hear how I sound:
[paste two or three of your emails]

Here are my open leads (name, what they asked about, where they came from, date of last contact):
[paste your list]

Please do three things:
1. Put the leads in order of who has waited the longest and who seems most ready, with one sentence on why for each.
2. For each lead, draft a short, warm follow-up in my voice that mentions what they asked about and offers one clear next step. Mark each one DRAFT.
3. Give me a "who's waiting on us" list I can keep, with columns for name, what they want, last contact, and next follow-up date.

Don't invent details about anyone, and don't mention prices or promises I haven't given you. If a message needs something you don't know, write [ASK ME] in that spot.

4Before you build, have it interview you

An AI employee can only work from what you've given it, and you told us that most of how your business runs lives in your head right now. That's normal for an owner who built the place by doing every job at least once, and it's also why we'd ask you to spend twenty minutes getting it out before you build anything. Strategy First. AI Second.

The easiest way is to let the AI interview you while you talk instead of type. Open a new chat, turn on voice dictation, paste the prompt below, and answer each question the way you'd explain it to a new hire on their first morning.

Copy this prompt
Interview me about how I handle following up with new leads and open proposals in my business. Ask one question at a time and wait for my answer before you ask the next one. Ask about the steps I follow, the decisions I make along the way, what good looks like when it's done right, the mistakes I see most often, and what I'd never want anyone to do without checking with me first. After about ten questions, write what I said into a one-page "how we do this" document with plain headings, and list any gaps where you'd need more from me.

Save that page in the shared folder your team already uses, because it becomes the first thing your AI employee reads, and your Starter Kit's first-week checklist starts right here when you've answered the quiz this way.

Questions you might have

Will the AI employee contact my leads on its own?

No. It drafts the replies and keeps the list, and you approve and send every message. The kit shows you how to set that rule up from day one.

I already have a CRM. Do I still need this?

A CRM stores your leads, and this AI employee writes the follow-up for them. The kit works alongside whatever you already use, including a plain spreadsheet.

What if someone on my team is going to set it up?

The kit includes a one-page hand-off note written for them. You still decide who's a good fit and what you offer, because those choices are yours to make.

Do I need a particular AI tool?

No. The quick win and the kit are written to work in any of the major AI chat tools, so use the one you already pay for or already like.

Why isn't content creation one of the five jobs the quiz can point you to?

Because content is rarely what's holding a service business back, even though it's often the first job owners want to hand to AI. When AI agents first showed up, the first AI employee Brooke built wrote blog posts, and it worked and changed nothing for the business, because the blog was never the bottleneck. If rebuilding next week's social posts is eating your evenings, that's real, and it usually gets lighter once the job in your result is off your plate first.

What if this result doesn't sound like me?

Read the job list on the landing page and see whether a different one describes your week better, because sometimes a close second fits. You know your week better than any quiz does, and you're welcome to take it again.

What if the kit doesn't help?

Try it for 30 days. If the kit doesn't help you hand off that job, email us and we'll refund you in full.

If you know another owner with a proposal sitting in her drafts right now, send her the quiz, because it takes about 2 minutes and she'll get her own result.
