The inbox is running your morning

Your first AI employeeThe Inbox AI Employee

You sit down at the kitchen counter at ten to seven, tell yourself you'll just check email for a minute, and the minute turns into an hour and a half. There's a client who opened with "quick question" and then wrote four paragraphs, a vendor invoice that needs a yes, and a teammate asking where the new logo file lives (you've sent it three times, and it's in the shared drive, in a folder called "Logo"). By the time the house is loud with backpacks and somebody upstairs can't find their other shoe, you've answered nineteen emails and haven't touched the one piece of work you actually planned to do today.

Brooke Elder and Tricia Peterson, who built this quiz and the kits behind it.

None of those emails were bad, and most of the people who wrote them are lovely. The trouble is that the inbox decides how your morning goes, and your best hours go to sorting instead of the work only you can do.

1What it's going to do

Job description

The Inbox AI Employee

An AI employee is an AI that has been trained to do one specific job in your business the way you would do it. Your first one is the Inbox AI Employee, and its whole job is the morning sort.

Overnight it reads what came in and sorts each message into one of four piles: the ones that need you, the ones a teammate can answer, the ones waiting on someone else, and the ones that are just FYI. It drafts replies in your voice for you to approve, writes a short hand-off note for anything a teammate should take, and puts the five messages that truly need you at the top of a short morning summary. You may have seen this kind of thing sold as an AI email assistant, and the difference here is that you write the sorting rules and teach it your voice, so it works the way your inbox actually works.

Your hours back

3 hr/wk

13hours a month back if the Inbox AI Employee takes this job off your plate

Your number times 52 weeks, divided by 12 months. You still review and decide, so count some of that time back toward the work you love.

2This is what its first job is

Why this job first
AI is an accelerant, not a diagnostician, so it can make you faster at whatever you point it at, including the wrong thing. You told us the inbox is where your mornings go, which makes it the right first job, and it's also a forgiving place to start, since nothing leaves without your yes.
Your week when it's working
Imagine opening your laptop at seven to a summary that says five emails need you today, with drafts already waiting under three of them. You fix one sentence in the second draft (it was a little too cheerful for that particular client), approve the other two, and forward the logo question to the teammate who handles it. Ten minutes later you're into the work you love, and by the time the backpacks are going out the door you've already done the thing you planned to do, which on most mornings hasn't happened since spring.
What you still decide
Every reply that goes out, anything involving money or a promise to a client, and what counts as "needs me" in the first place. The AI employee drafts and sorts, and you hit send, because AI does what's reversible and you keep what's a promise.

What's inside (7 pieces)
  • A sorting rules template for the four piles, so you decide once what "needs me" means and the AI employee follows it
  • Reply-in-my-voice prompts for the emails you answer most, plus the "five messages that need me" morning summary prompt
  • A ready-to-load skill file that turns a general AI into your Inbox AI Employee, with blanks for your business details
  • A one-page job description you fill in, with a filled-in example from a sample service business so you can see what good looks like (it's an example, not a client)

3Free, do it today

Your free quick win: a first morning sort in about 15 minutes

This works in whichever AI chat tool you already use, and you don't need to connect anything to your email to try it.

  1. 1.Open your inbox and copy the sender, subject line, and first line or two of 20 to 30 unread emails. Copying the list view is fine. Leave out anything your industry requires you to protect, like patient details or account numbers, or swap names for initials.
  2. 2.Open three emails you've sent recently that sound like you, and copy the text of each one.
  3. 3.Open a new chat, paste the prompt below, and fill in the brackets.
  4. 4.Read the summary, fix anything it sorted wrong, and tell it why, because that correction is how it learns your rules.
  5. 5.Save the prompt somewhere you can find it tomorrow, so the next morning's sort takes 2 minutes to start.
Copy this prompt
You are my Inbox AI Employee. Your job is to sort my email the way I would and draft replies for me to approve. You never send anything.

About my business: [one sentence on what you do and who you serve]
About my team: [each teammate's name and what they handle]

Here are three replies I've written before, so you can hear how I sound:
[paste three of your sent emails]

Here are my unread emails (sender, subject, first lines):
[paste 20 to 30 emails]

Please do four things:
1. Sort every email into one of four piles: NEEDS ME, TEAM CAN ANSWER (name who), WAITING ON SOMEONE ELSE, or FYI.
2. List the five emails that most need me today, in order, with one sentence on why each one matters.
3. For each of those five, write a draft reply in my voice, marked DRAFT, and keep it shorter than I would.
4. For each TEAM CAN ANSWER email, write a two-line note I could forward to that teammate.

If you're not sure where an email belongs, put it in NEEDS ME and tell me why. Don't invent facts, dates, or prices. If a reply needs information you don't have, write [ASK ME] in that spot.

4Before you build, have it interview you

An AI employee can only work from what you've given it, and you told us that most of how your business runs lives in your head right now. That's normal for an owner who built the place by doing every job at least once, and it's also why we'd ask you to spend twenty minutes getting it out before you build anything. Strategy First. AI Second.

The easiest way is to let the AI interview you while you talk instead of type. Open a new chat, turn on voice dictation, paste the prompt below, and answer each question the way you'd explain it to a new hire on their first morning.

Copy this prompt
Interview me about how I handle answering and sorting my email in my business. Ask one question at a time and wait for my answer before you ask the next one. Ask about the steps I follow, the decisions I make along the way, what good looks like when it's done right, the mistakes I see most often, and what I'd never want anyone to do without checking with me first. After about ten questions, write what I said into a one-page "how we do this" document with plain headings, and list any gaps where you'd need more from me.

Save that page in the shared folder your team already uses, because it becomes the first thing your AI employee reads, and your Starter Kit's first-week checklist starts right here when you've answered the quiz this way.

Questions you might have

Will the AI employee send emails without me?

No. It sorts, summarizes, and drafts, and nothing goes out until you approve it. The kit's sorting rules also tell it which kinds of emails it should always send back to you.

Is it safe to paste client emails into an AI tool?

Check your tool's privacy settings and your industry's rules first. For the free quick win, leave out anything your industry protects, or replace names with initials, and the kit's walkthrough shows how to set it up with that in mind.

What if someone on my team is going to set it up?

The kit includes a one-page hand-off note written for them. You still decide what the job is and what the AI employee has to bring back to you, because those decisions are what make it work.

Do I need a particular AI tool?

No. The quick win and the kit are written to work in any of the major AI chat tools, so use the one you already pay for or already like.

Why isn't content creation one of the five jobs the quiz can point you to?

Because content is rarely what's holding a service business back, even though it's often the first job owners want to hand to AI. When AI agents first showed up, the first AI employee Brooke built wrote blog posts, and it worked and changed nothing for the business, because the blog was never the bottleneck. If rebuilding next week's social posts is eating your evenings, that's real, and it usually gets lighter once the job in your result is off your plate first.

What if this result doesn't sound like me?

Read the job list on the landing page and see whether a different one describes your week better, because sometimes a close second fits. You know your week better than any quiz does, and you're welcome to take it again.

What if the kit doesn't help?

Try it for 30 days. If the kit doesn't help you hand off that job, email us and we'll refund you in full.
